Conference Preparation
Instructions for Oral Presentations
- Plan to arrive in the room at least 15-20 minutes before the beginning of the session.
- Check in with the session chair who will be near the podium.
- Let the chair know the correct pronunciation of your name to be used in the initial announcement
- Oral presentation slots will be strictly limited to 20 minutes. You should aim for a presentation lasting no longer than 15 minutes, leaving 5 minutes for questions and change of speakers.
- Oral papers must be presented by using our PCs pre-installed at the conference site.
- Make sure to upload your presentation using our USB flash memory devices available in preparation rooms (one near the Auditiorium in the "Palazzo dei Congressi" and one in the "Palazzo degli Affari").
- The upload should be done no later than 2 sessions before yours or any time earlier. Contact any member of the conference staff in case you need help to upload your presentation.
- Before the beginning of your session, test and confirm to the chair that your presentation is properly rendered on the screen. Projector resolution is 1024x768 (XGA). As a backup option and only in case of technical compatibility issues, you may use your personal laptop as long as it is provided with a VGA 15 pins socket video connector compatible with the projector format resolution.
Presentation requirements
- Presentations must be in Microsoft PowerPoint 2007 / 2010 or Adobe PDF.
- Extra media files (video / images) must be stored in the same presentation folder.
- Non-standard fonts must be included in the presentation file (see https://support.microsoft.com/kb/826832 for PowerPoint).
- Presentation files shouldn't exceed a size of 100 MB.
- Movies embedded in the presentation should use standard video codecs including DivX, or Xvid.
- Projection ratio is 4:3.
The conference PCs are equipped with the following software:
- Windows Vista
- PowerPoint 2007
- Adobe Reader
Software is provided to play the following multimedia filetypes:
- Windows Media Video (.wmv)
- Windows Media Audio (.wma)
- MPEG-1 Audio Layer (.mp3)
- Audio Video Interleave (.avi)
Support will be provided for Quicktime, Real Audio and VLC compatible codecs. To use non-industry standard codecs, request audio-visual support by contacting the conference organizers.
Presentation preparation rooms will be open during the following times:
- Saturday, August 27th, 14:00-18:00
- Sunday, August 28th, 08:30-17:00
- Monday, August 29th, 08:30-17:00
- Tuesday, August 30th, 08:30-17:00
- Wednesday, August 31st, 08:30-12:00
Instructions for Poster Presentations
- Plan to arrive in the room at least 15-20 minutes before the beginning of the session.
- Check in with the session chair who will be near the sign announcing the session.
- Each poster is presented on 1 side of a 100 centimeter (39.4 inch) wide and 200 centimeter (78.7 inch) high poster board. A standard A0-sized poster (84x119 cm. or 33x47 inches) will fit on the poster board in PORTRAIT format.
- Each poster session is 2 hours, except for some 1 hour Special Poster Session.
- You should remove your poster from the board immediately at the end of the session so as to enable presenters for the next session to put up their poster in time.
- Materials to affix posters to poster boards will be provided in the poster sessions.
